Proposed Process flow:
- Kick-off call. Introduce and discuss the unit(s) in scope, what "updated" actually means to them (full redevelopment vs. a targeted fix), which documents are in scope, their delivery modes, and whatever platform they use for online delivery and evidence tracking, who the SME is and their real availability, who signs compliance off, and what's driving the timeline. Also ask if the format should remain the same as the source, or if they want anything from the add-on package (explain what it covers and present the benefits). Ensure you have everything you need to draft the change brief before you end the call.
- Content audit. Send a document request checklist by email and request the actual documents, then compare them against the current release of the unit.
- Scope, quote & contract. The audit findings form the basis of the scope of work — deliverables, timeline, number of SME review rounds, price. Prepare the development quote and send it in a formal proposal. Cover round of reviews, in-scope, out of scope, deliverables (as agreed upon in the first call),
- Ask if they'd also like to add engaging e-learning modules or simulations (SCORM), interactive HTML cloud-based files, and accessible PDF versions — available as an add-on for an extra charge.
- Content development. Once the proposal is signed off, build the training materials and send SMEs a structured review pack, log every round of feedback in one place, and revise accordingly.
- Sign-off & handover. After the SME confirms technical accuracy, the compliance representative confirms alignment to the relevant training product; both sign a one-page certificate — package everything in the pre-decided formats, and hand over with a change log.
- Check-in and soft nudge email. Send a follow-up email asking if they need further help, and if they'd like the updated training package delivered in additional formats — we also offer engaging e-learning modules or simulations (SCORM), interactive HTML cloud-based files, and accessible PDF versions, available as an add-on for an extra charge.
Certain items worth taking note of:
Assumptions and dependencies
- Assumes the unit's release doesn't change again mid-project
- Assumes existing materials are provided in editable format
- Assumes no scope additions without a change request
- Single-unit SOW specifically: state the unit's exact release number in writing
- We don't deliver training, run pilots with learners, or hold learner records — the RTO owns delivery, assessment administration, and compliance records
IP and confidentiality
- Client owns the final content; you retain your own templates and frameworks
- Confidentiality terms if the unit involves site-specific procedures
